Protocol for use and maintenance of first aid kits

1. Objective

Ensure that each section of the Club has a first aid kit in good condition, with the basic material necessary for immediate assistance in case of injuries and minor incidents during training and matches.

2. Responsibilities

2.1. Material Committee

  • Ensures the general good condition of all the Club’s first aid kits.
  • Supplies and replenishes material when necessary.
  • Reviews the first aid kits periodically.
  • Keeps a centralized record of each first aid kit (inventory and reviews).

2.2. Section Delegate

  • Directly responsible for the first aid kit assigned to their section/team.
  • Must:
    • Guard the first aid kit and ensure that it is present at training and matches.
    • Keep the first aid kit sufficiently complete before each match.
    • Report any incidents or deficiencies to the Material Committee.
  • Ensure that the material is used only for the care of players in the section.

2.3. Coaches and sports staff

  • They can use the first aid kit when necessary.
  • They must notify the Delegate if material has been used to facilitate its replacement.

3. Use of the first aid kit

  • It must always be accessible and identified during training and matches.
  • The material must be used rationally and only for first aid.
  • It can only be used by the section staff. Never by the players directly.
  • The use of the first aid kit material for dressings or preventive actions by the players before matches or training is not allowed.

4. Maintenance and replenishment

4.1. Replenishment

  • Whenever a first aid kit does not have the minimum content described in point 7 “first aid kit content”, the section manager, delegate, will need to request the material from the Material Committee.
  • All material for the first aid kits will be supplied by the Club through the Material Committee. It is important to give sufficient notice in advance to have the required material available.

4.2 Routine inspections

  • Before each match, the Delegate checks:
    • Condition and expiration date of the material (especially disinfectants, dressings and instant cold).
    • That nothing is missing from the minimum list established by the Club.
  • In the event of a shortage, the Material Committee is notified immediately.

4.3. Official reviews

  • Beginning of season: Material Commission carries out a complete review and delivers first aid kits to each section.
  • Periodic review: Joint review by Commission and Delegates.
  • End of season: Return and review of use.

5. Registration and control

  • Each first aid kit will have an associated inventory sheet with:
    • Basic material that it must contain.
    • Date of last review.
    • Observations/incidents.
  • Every time the delegate requests a replacement or has an incident, the Commission will note it.
  • Each review will be noted by the Commission.

6. Training

  • It is mandatory to have, know and use the Club’s incident response protocol
  • It is recommended that each Delegate and at least one staff member per section take the First Aid Level 1 course (World Rugby).
